How Scalation Uses Your Data

The short version

Scalation prices hotels and hostels by learning from the market. To do that we collect information about your property and the market around it, turn it into de-identified, pooled data, and use that data to train and improve our pricing and demand models. This data contribution is part of the Scalation service you subscribe to. It makes recommendations sharper for every property, including yours.

This page explains what we collect, how it powers the models, who owns what, how long we keep it, and the choices you have. For the full legal detail, see our Privacy Notice and Terms of Service.

What we collect

During onboarding and as you use the platform, we collect:

  • About you: your name, role, work email, and optional phone or WhatsApp. Used only to run your account, send your briefings, and provide support.
  • Your property: property name, type (hotel or hostel), location and currency, total rooms or dorm and bed inventory, room types and tiers.
  • Your competitor set: the competitor properties you confirm, their ratings, and their published rates.
  • Your pricing inputs: average rate, occupancy, seasonal floors, and your market positioning and strategy.
  • Your performance data (Pro): the PMS reports you upload, including pace, pickup, ADR by channel, operating costs, and profit. This is yours and is never shared with competitors.
  • Market data we gather for you: competitor rates, events, holidays, and demand signals collected from public sources and data partners.
  • Product usage and technical data: how you use the app, plus device, browser, and IP information.
  • Billing and support: your subscription details and any messages you send us.

How your data powers the models

We combine your property data, your competitor set, market rates, events, and demand signals to produce daily pricing recommendations and market intelligence. Before any data is used to train or improve our models, we de-identify and aggregate it so that it no longer identifies you, your property, or any individual. We then use these pooled patterns (rates, occupancy, demand, and market behaviour) to build and sharpen the AI that powers your recommendations.

Your account details (name, email, role, phone) and product-usage data are used to operate the service and improve the product, and are never used to train our pricing models.

De-identification

De-identification and aggregation happen before training. We remove or strip direct identifiers, pool data, and apply aggregation thresholds (suppressing groups too small to be safe) so that individual properties and people cannot be singled out from the training set or the trained model. Once data has been de-identified to this standard, we treat it as no longer reasonably identifiable.

Who owns what

You keep ownership of the raw data you upload. The de-identified, aggregated, and derived data, and any models, parameters, weights, and insights trained on it, are and remain Scalation's property, during and after your subscription. This is set out in Section 7 of our Terms of Service.

As part of your subscription, you grant Scalation a worldwide, royalty-free, perpetual, irrevocable, and sublicensable licence to use your submitted data, after de-identification and aggregation, to develop, train, test, and improve our models and derived analytics.

Why this is part of the service

Using de-identified data to train and improve the models is a defined, bargained-for part of the Scalation service, and our pricing reflects it. We may also use de-identified data to develop and, in future, commercialize our products and technology; we do not sell your identifiable data. Enterprise customers' data is handled under their Enterprise Agreement, where it is kept within our controlled, protected environment (sandboxed), de-identified, used only to improve our own technology, and is not commercialized.

No sensitive data

Please do not submit special-category or sensitive personal data, such as health, religion, ethnicity, political opinions, or criminal records. Scalation does not need it for pricing, and you agree not to upload it.

Where your data is processed

Scalation is based in Thailand. Your data may be hosted and processed outside Thailand, including in the United States and the European Union, by our cloud, model-training, and analytics sub-processors. We put in place the appropriate safeguards required under Thailand's Personal Data Protection Act (PDPA) for cross-border transfers, and, for customers in the EU and UK, the relevant GDPR transfer mechanisms. How long we keep it

We keep your personal data for as long as your account is active, and we delete or anonymise it within 30 days of cancellation unless the law requires us to keep it longer. De-identified and aggregated data, which no longer reasonably identifies you, may be kept for as long as it remains de-identified. Your onboarding inputs seed your property's pricing model and are retained for as long as we provide per-property analytics to you.

Your choices

You can ask us to access, correct, or delete your identifiable personal data by emailing [email protected], without affecting your paid service. Where applicable law gives you further rights, those rights apply. Because the data we use to improve our models is de-identified and pooled, and the models do not store your identifiable data, we cannot pull an individual property out of, or retrain, models already built.

A note on pricing recommendations

Scalation's recommendations are decision-support tools, not guarantees of revenue or occupancy. You remain in control of the prices you set. See Section 11 of our Terms of Service for the full disclaimer.
